Bidding: jobs, takeoffs, submittals and change orders
Follow a construction job from the bid to the last change order, all on one job page.
How do I track a construction job from bid to change order?
- On Jobs out to bid, press New. Name the job the way everyone on it calls it, set the bid date and your spec position. It goes on the bid calendar.
- Open the job and record every contractor bidding it — whoever wins, your product goes in.
- Add a takeoff: work down the equipment schedule (tag, what it is, how many, price each). The takeoff totals itself, so every contractor gets the same number.
- Add the submittal the engineer must approve, with the factory lead time and the date it must be on site.
- When the job changes, add a change order, price it and mark it approved on Change orders. The job value follows.

Construction work is won long before anyone orders. Let's follow one job from bid to change order. Every job you are chasing sits here, on a calendar of bid dates. Name the job the way everyone on it calls it.
It is out to bid, and bids close on October 22. The spec names our line as the basis of design — the position you protect. Save, and the job goes on the bid calendar. Open the job to work on it.
The job page gathers everything: who is bidding, what you counted, paperwork and changes. Two contractors called for a price. Record every one — whoever wins, your product goes in. Now count the job off the drawings.
That is a takeoff. It is already tied to this job. Save it. Work down the equipment schedule: tag, what it is, how many, and the price each.
The takeoff totals itself. One number, and every contractor gets the same one. Back to the job. Winning does not start the factory — the engineer must stamp the submittal first.
The factory needs 42 days, and it has to be on site by mid-January. Jobs never end the way they were bid. The owner wants two more stations. The takeoff, the submittal and the change order all sit on the job page now.
Price the change and mark it approved on the Change orders screen. Back on the job, the value follows the approved change. Our share was bid at $17,406. With the approved change, it is worth $23,016 now.
One job, from the bid to the last change — all in one place.
