Who we are
Linekto (“we”, “us”) makes commission tracking and back-office software for manufacturers’ rep agencies in North America. This policy covers our public website, the Linekto app on the web and on phones, and the email we send.
Questions about privacy go to linekto.support@gmail.com. A person reads every message.
Two kinds of information
- Information about you — as a visitor, or as someone with a Linekto account. We decide what happens to it, and this policy describes it.
- Your agency’s business records — customers, contacts, reps, visits, invoices, commission and payee details. The agency that subscribes owns these records and decides what goes in. We hold and process them only to run Linekto for that agency.
If an agency has put your details into Linekto — say you are a buyer at one of its customers, or a rep it pays — please ask that agency first. It controls those records. We will help it answer you.
What we collect
| When | What we get |
|---|---|
| You browse the public website | Through Google Analytics: the pages you view, how you arrived, your device and browser, and a rough location. Google works out the location from your IP address and says it does not store the address itself. |
| You write to us | Your name, email, company, team size, the system you use now, the topic and your message, the page you wrote from, and your IP address. |
| You start a trial | Your company name, your name, email, user ID and password, and the IP address you signed up from. |
| Someone invites you | Your name and email, from the person who invited you. The link works for 14 days. |
| You sign in | Your IP address, your browser’s description of itself, and the time. For a failed attempt we also keep the user ID that was tried and why it failed. |
| You reset your password | Your email, and a one-time link that stops working after 60 minutes. |
| Your agency pays | PayPal handles the payment. We send it the amount and our reference and keep PayPal’s reference number. We never see a card number. |
| You use the app | A record of changes — who did what, when, and from which IP address — so your agency can see its own history. Also your display settings, such as theme and text size. |
Passwords are stored as a one-way hash. Nobody here can read yours. We do not collect your precise location — our pages switch off the browser’s location feature — and we do not buy information about you from anyone.
How we use it
- To run Linekto, and to keep each agency’s records apart from every other agency’s.
- To sign you in, keep accounts safe, and slow down people guessing passwords.
- To answer your messages.
- To send email the service needs: sign-up, invitations, password resets, and account and billing notices.
- To bill the agency.
- To see which pages of the public website help people and which do not.
- To keep the records the law requires, such as tax records.
We do not sell personal information. We do not use your agency’s records for advertising, and we do not use them to train AI models.
When our staff look at an agency’s records
Only to help that agency, for example when it asks us to look at a problem. Our staff see the agency’s workspace read-only, for a short time, and each visit records who looked, when, and why.
Who else handles it
We use a small number of service providers. Each gets only what its job needs.
| Provider | What it does for us |
|---|---|
| Amazon Web Services | Runs our servers and database, stores our backups, and delivers our email — all in Oregon, United States. |
| PayPal | Takes payments. |
| Google Analytics, on the public website only. Not inside the app. |
We also share information when the law requires it, and, if Linekto is ever sold or merged, with the new owner — who must keep to this policy.
Cookies and browser storage
| What | Why | How long |
|---|---|---|
| Sign-in | Keeps you signed in to the app. | Until you sign out, or 24 hours, whichever comes first |
| Form protection | Stops other websites from sending forms in your name. | Up to 3 hours |
Google Analytics (_ga, _ga_*) |
Counts visits to the public website. | Set by Google, up to two years |
The app also keeps a few screen settings in your browser, such as which menu groups are open. They stay on your device. We do not use advertising cookies.
To keep Google Analytics off, block cookies for this site in your browser or install Google’s opt-out add-on. The website works the same without it.
How long we keep it
| What | How long |
|---|---|
| Your agency’s records and its people’s accounts | While the agency subscribes. After it closes its account we delete them 90 days later. We keep only the agency’s name and status, its billing records for tax, and a history of account changes. |
| Messages you send us | Answered and spam messages are deleted after 365 days. A message we have not dealt with stays until we do. |
| Record of email we sent | 7 days. |
| Server logs | 60 days. Error logs can be kept longer while we fix what went wrong. |
| Security records | Failed sign-ins and staff visits to a workspace are kept for security. Records about an agency’s users go when the agency’s records go. |
| Backups | Encrypted, and replaced automatically on a rolling schedule. Deleted information can remain in a backup until that backup is replaced. |
Your choices and rights
- Get a copy. An agency’s managers can download its records as spreadsheets at any time from Take your data in the app. Anyone can email us for a copy of the personal information we hold about them.
- Correct it. You can change your password in the app. For anything else, email us.
- Delete it. Email us. We delete what we are not required to keep, such as tax records. If it is part of an agency’s records, we pass the request to that agency.
Write to linekto.support@gmail.com. We answer within 30 days and may need to confirm who you are first. Asking will never change how we treat you.
People in California, Virginia, Colorado and several other US states, and in Canada, have these rights by law. We give them to everyone. If you are in Canada and not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada.
How we protect it
- Connections to Linekto are encrypted.
- Passwords are hashed. Payee tax ID numbers and bank account numbers are encrypted with AES-256.
- Our server disks and backups are encrypted, and our database is not reachable from the internet.
- Every agency’s records are kept apart, and sign-in attempts are limited.
No system is perfect. If a breach affects your information, we will tell you and the authorities as the law requires.
Where it is stored
In the United States. If you are outside the US, including in Canada, your information is stored and processed there and may be available to US authorities under US law.
Children
Linekto is a business product and is not meant for anyone under 16. We do not knowingly collect information about children.
Changes to this policy
The date at the top shows the last change. If a change is significant, we will email agency owners before it takes effect.
