Rep statements and payouts
Check what each rep earned from money that actually came in, then pay it — without ever paying the same commission twice.
How do I build rep commission statements and pay the reps?
- On Rep statements, pick the period. Each row shows the commission, the rep's cut and what the agency keeps. Open a rep to see every check behind the number.
- On Pay the reps, use the same dates. Only money not yet paid is listed. Untick anyone to hold back.
- Set the send date and press Get it ready. These commissions are now locked.
- Download the check list or ACH file for your bank. When the money has really gone, mark it as sent.
Good to know
- Statements count only checks that came in, not unpaid invoices.
- Mark a payout sent only after the money left the bank — 1099 totals count it.
- Paying the reps is for the owner and managers.

Once a quarter, the owner pays the reps. First we check what each one earned, then we pay it. A rep statement shows what each rep earned from checks that actually came in — not from invoices still unpaid. Pick the period: money received from June 1 through August 31.
Each row shows the commission share, the rep's cut, what we pay them, and what the agency keeps. Open Jim Miller's detail to see where his number comes from. Every line is a real check: the invoice, the customer, what came in, and Jim's cut of it. Lines marked 'came in short' are ones the manufacturer underpaid — Jim can see that too.
The numbers look right. Now let's pay them. Use the same dates, so we pay exactly what the statements showed. Only money not yet paid is listed.
Untick anyone you want to hold back — the total updates. Set the send date and a note for your records. Get it ready locks these commissions, so nobody can pay them twice. Here is the payout: who gets what, and how.
Nothing has left the bank yet. Download the check list or ACH file and give it to your bank. When the bank has sent the money, mark it as sent. Only say yes after the money really went — this is what the 1099 totals count.
Back on the list, the payout now shows as Sent. Run the same dates again, and nothing is waiting — it can't go out twice. Statements show what was earned. Payouts record what was paid.
Together, reps never have to ask.
